- Creating, updating, and maintaining employee personnel files and employee information
- Collecting employee time-cards, preparing payroll, and delivering a payroll report to managers
- Processing payroll – sending direct deposits, paychecks, and documenting final payroll processing
- Paying and tracking all payroll-related liabilities including, 940/941, FUTA, AK-SUI, 401(k) contributions, employee loans and advances, etc.
- Filing and submitting all necessary payroll-related returns including, 940/941, FUTA and AK-SUI (state unemployment)
2. Vendors & Billing
- Collecting, recording, and filing all bills submitted to your business
- Preparing weekly or semi-weekly spending plans of bills that we recommend be paid
- Paying all bills you designate, sending and documenting payment
- Setting up new vendor accounts and updating vendor records/databases
3. Customers & Invoicing
- Collecting customer data and creating billing profiles and schedules
- Preparing invoices for customers and tracking/receiving payment
- Calculating and monitoring customer contingent liabilities such as Federal Excise Taxes (FETs), Sales Tax, etc.
- Paying and filing all necessary sales taxes and returns
- Using customer specific software (as required by your customers) to update projects and submit invoices according to customer preference
- Setting up merchant services accounts and terminals to allow your business to accept payment via credit card and PayPal
4. Track & Maintain Company Accounts
- Recording all financial account transactions including deposit accounts, loans, credit cards, etc.
- Keeping detailed, up-to-date and accurate ledger accounts of all company assets, liabilities, equity, income, and expenses
5. Setup & Administer Client-Business Programs
- Setting up and administering 401(k) plans, profit-sharing plans, or special programs
- Providing financial data and reports to vital third parties (such as quarterly reports to lenders, SBA 8(a) financial reports, CPA auditors, tax professionals, and others as requested)
6. Generate Financial Reports
- Creating common financial reports such as Profit & Loss, Balance Sheet, Cash-Flow Statement, Employee Earnings Summary, Payroll Summary, Operation-Specific Expense Report, Profit & Loss by Customer/Job, etc.

We typically use QuickBooks Professional accounting software to manage and store our customers' financial information and to maintain their ledger accounts. But unlike most other bookkeepers we digitally database and file all of your company's records, not just financial records. This means that virtually any document or financial report is available to you or your agents from anywhere with an internet connection. For maximum security and redundancy your records are stored and password protected in a minimum of two locations at our offices and two remote, secure servers.
All access codes and sensitive information, in addition to being password protected, are encrypted using a minimum 6,000 bit encryption key, making it virtually impossible for your company's data to be accessed if it were to fall into the wrong hands.
The result of having your records kept digitally is that your information is instantly accessible to you and to other appropriate parties, your records are portable, safe and secure, and your files cost next to nothing to warehouse or maintain. If you still need paper copies of any piece of information you can print it out with a click of a button.
